Aside from 'General Settings', the 'Griot Settings' page consists of a multitude of different tabs, allowing for personalizing and editing of various aspects of Griot's functions. This article will detail the tabs on the left-hand toolbar other than the 'General Settings' tab. After making any edits or changes to any of the tabs, please hit the 'Save Changes' button to ensure your changes are implemented.
The 'Payroll' tab allows you to edit who can manage payroll. It also allows you to change calendar mode between weekly, bi-weekly, twice-monthly, or monthly, as well as the start date of the payroll calendar.
The 'Projects' tab not only allows you to change view parts of projects and who can add and edit projects, but it also allows you to add project types, allowing for personalized customization of how your projects are billed.
Another feature present within the 'Projects' tab is the ability to view the different types of payment terms, as well as add your own. This allows you to create payment terms that align properly with your company's projects.
The 'Rate Books' tab has permission editing for viewing and editing rate books, as well as a small section on billing codes. In this tab, you can choose whether or not to use billing codes for rate books as well as whether or not to display the billing codes on timesheets (only if you've chosen to use billing codes).
The 'Business Development' tab contains permission settings, allowing you to change who can add and edit opportunities, as well as who can view the company's business development opportunities.
The 'Expenses' tab contains the usual permission editing, allowing you to decide who can approve, manage, and submit expenses in your company. The tab also allows for the ability to edit the following:
Minimum Required for Attachments - The minimum amount in which an employee must provide proof of an expense with an attachment.
Expense Types Authorization - Whether you want to have expenses authorized globally or by each employee.
Break Out Tax - Whether sales tax should be recorded in a separate field or not during expense recording.
Expense Amount Rules - Display your own help text on the expense submission form, which will be displayed below the 'Amount' box.
Mileage Rate - The cost, per mile, which will be used for mileage expense calculation.
Owner Can Approve All - Whether or not the Site Owner can approve anybody's expenses, including their own.
The 'Task List' tab contains notifications settings, allowing for personal settings regarding when notifications are sent out for project tasks. You can decide if notification should or should not be sent out when a task is assigned, created, or updated.
The 'Timecards' tab allows for editing the permissions of who can review timecards, as well as who can view timecard reports. The tab also provides the ability to edit the following:
Reminder Start Date - The earliest date in which timecards can be start being submitted.
Notify Timecard Changes - Whether or not the financial manager receives emails when someone has changed an entry for their timecard.
Enable Timecard Filter - Whether or not all employees have the list allowing filtering of assignments for their timecards
Validate Weekly Hours Worked - Whether or not to prevent W2-exempt employees from submitting timecards with less than the required amount of hours they must work per week.
Timecard Settings - Allows for you to view and add new timecard settings, including the effective starting date, the entry period (bi-monthly, weekly, or mixed), the PTO floor, the comp time floor, and the wrap rate.
The 'Client List' tab provides the usual permission editing, allowing for management on who can add, edit, and view clients, as well as who can manage client surveys.
The 'Invoicing' tab contains the ability to edit who can add, edit, and view ledgers. The tab also contains the choice of whether or not Griot should automatically assign a number to invoices, as well as the next invoice number to be used in the sequence. You can also choose whether or not to include dates for when expense line items have been incurred during invoicing. Lastly, it is also possible to edit the month in which your company's fiscal year begins.
Paid Time Off
The 'Paid Time Off' tab allows for the usual permission editing on who can add/view/edit PTO, manage PTO settings, and enter PTO adjustments. The tab also allows for editing of the following:
Comp Ceiling - Maximum amount of hours of comp time that an employee can accrue.
Maximum PTO Carryover - Maximum amount of PTO hours that can be carried over into the next year.
PTO Hours Worked Limit - Whether or not PTO claims are limited if it would exceed expected work hours on a timecard.
Comp Time Hours Worked Limit - ????
Accrual Start Date - Set the date in which PTO hours begin to accrue.
The 'Personnel' tab revolves around permissions. You can decide who is able to add, edit, and view personnel, as well as who can view the staff directory. You can also decide who is able to view personnel hourly rates. Lastly, you can decide who is able to add and edit personnel aside from their roles.
The 'Consultants' tab is short, containing some permissions settings for who can add, edit, and view consultants.
The 'Fixed Assets' tab allows for editing of who can add or dispose of fixed assets.
